
1) Service Scope
1.1 The Tutor will deliver structured, outcome-focused small-group online tuition as described in the Programme outline provided to the Parent.
1.2 Tuition includes live sessions, guided practice, and (where applicable) homework or independent tasks.
1.3 Tuition is not therapy or formal assessment and does not replace school provision or specialist services.
2) Group Format & Minimum Numbers
2.1 Sessions are delivered in small groups of up to 8 students.
2.2 If minimum enrolment is not met, we may: (a) defer the start date, (b) merge groups, or (c) offer an alternative. If no alternative is accepted, fees already paid will be refunded for undelivered sessions.
3) Student Readiness & Conduct
3.1 The Parent confirms the Student has the required equipment, i.e., internet connection, and a quiet workspace.
3.2 The Student agrees to behave respectfully, keep cameras on (unless otherwise agreed), participate actively, and follow reasonable Tutor instructions.
3.3 Persistent disruption, bullying, or non-compliance may result in removal from sessions (see 14 re termination).
4) Fees
4.1 Fees for the 12 week programme are £999.00 per student.
4.2 Places are confirmed only when payment is received (or the first instalment is cleared).
4.3 Fees are for the programme as a whole (an outcomes-based package), not a series of ad-hoc hourly lessons.
5) Payment Terms
5.1 Payment is due in full upfront or by agreed instalments via Stripe/Bank Transfer/Other.
5.2 Instalments must be paid on or before the due dates. Late or missed payments may result in paused access or cancellation of the booking (see s14). Sessions missed for this reason will not be replaced or compensated in any other way.
6) Cancellations & Refunds (Parent)
6.1 Cooling-off: If booked online, UK consumers usually have a 14-day cooling-off period; however, this may be waived once digital materials are accessed or sessions begin. If you wish to keep the cooling-off right, do not access materials or attend sessions within 14 days – Accessing any course material will be considered waiving the right to the 14 day cooling off period
6.2 After the cooling-off period (or once waived by access/attendance), fees are non-refundable, as the Tutor commits resources and secures a group place.
6.3 Missed sessions by the Student are not refundable or creditable. See 10 for make-up policy (if any).
7) Cancellations & Changes (Tutor)
7.1 If the Tutor must cancel a session, a like-for-like rescheduled session or credit will be offered.
7.2 The Tutor may occasionally change session times with reasonable notice or supply a qualified substitute.
8) Attendance & Lateness
8.1 Please arrive/log in 5 minutes early. Late arrivals may not receive extra time.
8.2 Repeated non-attendance may impact progress; the Tutor is not responsible for outcomes where attendance is irregular.
9) Homework & Independent Study
9.1 Short, targeted tasks may be set to consolidate learning.
9.2 The Parent should support reasonable completion of tasks and encourage the Student’s engagement.
10) Make-Up Sessions
10.1 Group programmes typically do not include individual make-ups for missed sessions.
10.2 At the Tutor’s discretion, a summary or recording/notes may be shared (see 12 on recording consent).
11) Safeguarding & Supervision
11.1 A responsible adult should be present in the home during online sessions for any students under 18.
11.2 The Tutor follows safeguarding good practice; any concerns may be recorded and, where appropriate, escalated under UK safeguarding guidance.
12) Recording, Privacy & Data Protection (UK GDPR)
12.1 Sessions may not be recorded.
12.2 By enrolling, you consent to the Student’s participation, and you will not record sessions yourself without written permission.
12.3 The Tutor will process personal data (contact details, progress notes, assessments) in accordance with applicable data protection laws. A full Privacy Notice is available on request.
12.4 The Parent agrees to keep group peers’ identities/materials confidential (no screenshots/clips shared on social media).
13) Materials & Intellectual Property
13.1 All teaching materials, plans, videos and resources are the intellectual property of KTC Education Services (T/A: Tutor Doctor Richmond, Twickenham, Putney and Wandsworth).
13.2 Parents/Students receive a personal licence to use materials for study during the programme. Redistribution, resale, or public sharing is prohibited.
14) Suspension/Termination
14.1 The Tutor may suspend or terminate enrolment for: (a) serious or persistent misconduct, (b) non-payment, (c) safeguarding concerns, or (d) repeated breach of these terms.
14.2 Where termination is due to Parent/Student breach, no refund is due.
14.3 The Parent may withdraw with written notice; refunds then follow 6.
15) Results & Limitation of Liability
15.1 We do not guarantee specific outcomes/grades. Progress depends on multiple factors including attendance, engagement, and completion of tasks.
15.2 The Tutor’s total liability for any claim arising under this Agreement is limited to the total fees paid for the current programme. The Tutor is not liable for indirect or consequential losses.
16) Technology & Access
16.1 The Parent is responsible for providing a suitable internet connection, device, and platform access.
16.2 Technical issues on the Parent side are not grounds for refund; the Tutor will provide joining links and basic platform guidance.
17) Special Educational Needs & Medical
17.1 Please disclose any relevant learning needs, access requirements, allergies/health issues before the programme starts so reasonable adjustments can be considered.
18) Holidays & Public Dates
18.1 The schedule will be provided in advance. Tutor holiday dates or bank holidays will be accounted for via rescheduling or programme calendar.
19) Complaints
19.1 Please raise concerns promptly by email to [email protected]. The Tutor aims to resolve issues quickly and fairly.
20) Force Majeure
20.1 Neither party is liable for failure to perform due to events beyond reasonable control (e.g. major platform outages, power failure, illness). In such cases, sessions will be rescheduled where possible.
21) Governing Law
21.1 These Terms are governed by the laws of England & Wales, and the courts of England & Wales have exclusive jurisdiction.
Acceptance:
By paying the fee or attending the first session (whichever is earlier), you confirm you have read, understood, and agree to these Terms & Conditions.
